Office Management:
• Supervise daily administrative activities, including reception, mail distribution, and office maintenance.
• Ensure efficient utilization of office resources and facilities to meet operational needs.
Staff Supervision:
• Lead and manage administrative staff, including hiring, training, and performance evaluation.
• Delegate tasks and responsibilities, providing guidance and support to ensure high productivity and quality of work.
Policy and Procedure Development:
• Develop and implement administrative policies, procedures, and guidelines to streamline operations and enhance efficiency.
• Ensure compliance with organizational standards and regulatory requirements.
Budget Management:
• Prepare and monitor budgets for administrative expenses, including office supplies, equipment, and facility maintenance.
• Optimize resource allocation and cost-effective procurement practices.
Communication and Coordination:
• Facilitate communication and coordination within the organization, ensuring timely dissemination of information and effective collaboration among departments.
• Serve as a point of contact for internal and external stakeholders, addressing inquiries and resolving issues.
Project Oversight:
• Manage special projects and initiatives related to administrative operations, coordinating cross-functional teams and ensuring project deliverables are met.
Quality Assurance:
• Implement quality assurance processes to maintain high standards of service delivery and customer satisfaction.
• Continuously assess and improve administrative procedures to optimize workflow and eliminate inefficiencies.
Risk Management:
• Identify potential risks and vulnerabilities in administrative operations, implementing risk mitigation strategies and contingency plans.
Compliance and Ethics:
• Ensure adherence to legal and regulatory requirements, maintaining confidentiality and ethical standards in handling sensitive information.
Requirements
- Any Graduate (Business Administration, Management, or related field preferred)
- Minimum 3–5 years of relevant experience in administration/office management (at least 1–2 years in supervisory level)
- Proficiency in MS Office (Word, Excel, PowerPoint), email and office software
- Strong organizational and multitasking ability
- Problem-solving and decision-making skills
